Managing credits and spend controls in ChatGPT Business

Learn when ChatGPT Business needs credits, how to add credits and auto-top-up, and how to review usage analytics and spend controls for Codex.

Overview

Note: Starting April 2, 2026, ChatGPT Business supports two seat types: standard ChatGPT seats (fixed monthly cost) and Codex seats (usage-based). A Business workspace can include standard ChatGPT seats, usage-based Codex seats, or a mix of both. Learn more in our ChatGPT Business overview article.

Use this article if your workspace has Codex seats, expects additional Codex usage from standard ChatGPT seats, or needs workspace-level limits and analytics. Note that Codex seats require credits for activity.

If your workspace does not have enough credits for a usage-based feature, that feature may be unavailable until credits are added.

Add credits to a workspace

  • Sign in with a role that is allowed to manage workspace billing or credits.

  • Go to Workspace settings → Billing.

  • Select the option to add credits.

  • Review the payment method, credit amount, and note that credits are valid for 12 months.

  • Confirm the purchase.

If you add the first Codex user to a workspace that previously had only standard ChatGPT seats, the product can trigger a credits flow using the saved payment method.

Use automatic reload

Automatic reload helps prevent interruptions when a workspace uses credits for Codex activity. You can set a Minimum balance so ChatGPT automatically charges your payment method on file to add credits when your balance goes below that amount and tops up to your Target balance. If your workspace balance is already below the Minimum balance when you turn on automatic reload, ChatGPT may charge the payment method on file right away to add credits, up to the Target balance and subject to any Monthly recharge limit. To cap automatic reload purchases, enter a Monthly recharge limit; leaving this field blank allows unlimited automatic reload purchases each month.

  • Go to Workspace settings → Billing.

  • Turn on Automatic reload.

  • Review the Minimum balance, Target balance, Monthly recharge limit, and payment method.

  • Click Turn on to enable the change.

Manage spend controls

You can manage monthly credit usage limits by seat type or by specific user, to align with your workspace needs. For example, you can set a higher credit limit (or no limit) for Codex seats, while keeping limits for ChatGPT seats. You can also set limits by user - note that this value will override a prior seat-specific limit.

By default, all seats and users have no limits specified.

  • Go to Workspace settings → Billing.

  • Identify the seat type you want to add a limit for, and click Add to set a credit maximum.

  • You can also set a Per user override. Click Manage to select limits per user, and then Add to set the limit.

Privacy

Spend controls are operational tools. They do not replace the privacy and chat-visibility rules for the workspace.

A user's private chat history is still separate unless that user chooses to share a specific chat, GPT, or other resource.
